AI follow-up
Quotes and invoices get followed up for you.
Keeps quotes, invoices and appointments moving in the tools you use, and stops when someone answers.
Reminders, follow-ups and review requests included. A second system optional.
From $1,500 per project

What it does
Four jobs, done the way you would do them.
Appointment confirmations and reminders
A booking gets a confirmation at once and a reminder the day before, from your number. A reply of “yes” marks it confirmed. Anything else goes to a person.
The day before a visit - Reminder: tomorrow at 2 with Dr. Patel. Reply yes to confirm, or tell us what to change.
- yes
- Marked confirmed in your system
Quote follow-ups and invoice reminders, with a pay link
A quote with no answer gets one nudge after two days and one more a week later, in your words. An invoice past due gets a reminder with a link to pay. A reply or a payment stops the sequence.
Two days after a quote - Hi Dana, the estimate from Tuesday is still open. Any questions before you decide?
- Could you do the week after next?
- Sequence stopped. The thread handed to your team.
Review requests after completed jobs
A job marked done gets one text with your Google link. A customer who replies with a problem is routed to you, not to Google.
The morning after a job - Thanks for having us out yesterday. If it went well, a Google review helps a small shop. The link is below.
- The appointment ran forty minutes late
- Sent to you, not to Google
A Monday summary of everything still open
One text every Monday: the quotes unanswered, the invoices past due, the appointments unconfirmed, each with a name and its next reminder date.
To you, Monday 7 am - Open this week: two estimates unanswered (Dana, Ortiz), one invoice past due (Keller, 12 days), three visits unconfirmed. Next reminders go Tuesday.
A day with it
One appointment, start to finish.
A dental office in Winter Park, a patient booked for Thursday. The names are made up.
- Mon 11:10 amFront desk
Books Thursday at 2 in the practice system.
- Mon 11:11 amSystem
Texts the confirmation from the office number.
- Wed 10:00 amSystem
“Reminder: tomorrow at 2. Reply to change it.”
- Wed 10:20 amPatient
“Can we do 3 instead?”
- Wed 10:20 amSystem
Stops the reminders. Hands the thread to the front desk.
- Wed 10:35 amFront desk
Moves the visit to 3.
- Wed 10:36 amSystem

- Thu 3:40 pmFront desk

- Fri 9:00 amSystem

- Mon 7:00 amOwner
Gets the summary: two estimates unanswered, one invoice past due, each with its next reminder date.
Hands off to a person
What it never decides.
These stop the sequence, every time.
Any reply at all
A person answering, with anything, ends the sequence. The thread goes to your team; the system does not reply on its own.
Disputes and complaints
“I already paid” or “the job was not finished” goes to you at once. No further reminder is sent.
Discounts and payment plans
It never offers one. A customer who asks is handed to a person who can.
Health and legal detail
In a clinic or a firm it confirms and reminds. It does not discuss the treatment or the matter by text.
Who it is for
What changes, by kind of business.
Salons, spas and studios
Deposits and consultations confirmed, the day-before reminder in your words. Monday’s summary names the ones still open.
Clinics and practices
Confirmations and reminders before every visit. Treatment estimates followed up without a front desk call.
Restaurants and shops
Catering quotes and private-room bookings confirmed and followed up. A reply goes straight to the manager.
Firms and brokers
Engagement letters, proposals and listing agreements sitting unsigned get a reminder. The signed ones stop it.
What it costs
One fixed price for the build.
Agreed in the written plan before any work starts.
The build
AI follow-up
Appointment reminders, quote follow-up, invoice reminders and review requests across the tools you already use, with a Monday report of what has stalled.
- Build and setup
- From $1,500 per project
- Tested with your own messages before it goes live.
- The first call, the visit and the written plan are free.
- 60 days of free fixes after it goes live.
Add-ons, priced in the written plan
- SpanishEvery reminder and request in Spanish as well as English, chosen per customer.
- A second system connectedFollow-up from two sources at once, such as your booking system and your invoicing.
- Win-back textsOne message to customers you have not seen in a while, in your words. Marketing, so only to customers whose written consent you hold.
- Every build price here is where a project starts: the base build its card describes. Add-ons are priced in the written plan, so the final figure moves with what you choose.
- Text messages and AI usage are billed to you at cost; we add nothing.
- Two or more AI employees share one build and cost less together.
Also in AI employees
- AI receptionistTexts back every call you miss, and answers texts and web messages from your real prices and calendar, day and night.
- AI intake and paperworkCollects what a job needs, runs the checks before the visit, and fills the forms your front desk retypes today.
- All services and pricesThe whole menu, with each starting price.
How it goes live
A call, a visit, a written plan. Then the build.
A phone call
Twenty minutes with Ben, who builds the system: what rings, what gets typed twice.
A visit
We come to your business and watch a normal day: the phone, the calendar, the forms.
The written plan
Within a week of the visit: what to build first, what to leave alone, a fixed price for each. Free, and yours either way.
Say yes to the plan and we build it on your accounts and your number, tested with your own calls, texts and forms before anyone else hears it. At the handover your team is shown how it works and how to change it.

Can you trust AI not to make mistakes? No. A three-tier rule for small businesses: what runs alone, what waits for approval and what AI never decides.
Questions
What owners ask about it.
Will customers feel pestered?
The sequence is short and in your words: for a quote, one nudge after two days and one more a week later, then it stops. Any reply ends it. You set the timing and the wording in the written plan, and you can change both afterwards.
What happens when someone replies, pays or reschedules?
The sequence stops. A reply lands with your team, with the quote, invoice or appointment attached, and a person answers it. A payment or a new booking in your system ends the reminders by itself.
Does it work with our booking system and our invoicing?
It connects to the tool where the quote, the invoice or the booking already lives and reads from there, so nothing is typed twice. The build covers one system; a second is an add-on.
Is it legal to text customers like this in Florida?
The rules that already bind your business apply to these texts, and the written plan sets out how the build meets them. A confirmation, a reminder or an invoice notice goes to a customer who gave you their number for that purpose. A win-back text is marketing: we send one only to customers whose written consent you hold. Every message says who it is from, and a reply of “stop” ends them.
Can my team pause it and take over a conversation?
Yes. Any conversation can be taken over from your team’s own phones, and the whole system can be paused from the runbook, for a day or for a storm week. A conversation a person has joined gets no more messages from the sequence it was in; a new booking or invoice starts its own as usual.
What do we keep if someone else supports it later?
Everything: the texting number and the connections to your calendar, booking system or invoicing, in your name; every message it sends as one document in your words; and the runbook. Another developer gets the same three things.
What does it cost to run each month?
Text messages and AI usage are billed to you at cost by the providers; we add nothing. A support plan is optional and month to month.
Do we need the AI receptionist too?
No. The follow-up works on its own from the tools you already use. The two together cost less than two separate builds, because they share one copy of your prices, policies and number.
A clear plan starts with a call.
Tell us what's slowing you down. We'll work out what to fix first.
A short phone call
Tell us how your business runs day to day. From that alone, we can usually see what to take off your plate.
A visit to your business
We come to you, watch how the work happens and see which tools you use.
Your written plan and prices
A prioritized list of improvements, with a fixed price for each project. You keep the plan either way.
