What custom software and automation cost in Central Florida
How much automation costs a small business in Central Florida: the build, the platforms, usage and upkeep for four common projects, with our fixed prices.
Quick answer
What automation costs a small business in Central Florida comes down to four lines: the build, the platforms, usage and upkeep. A single automation, such as a missed-call text-back, starts at a one-time $1,500 on subscriptions you pay directly. Custom software starts at $5,000 to build and tens of dollars a month to host. Upkeep is 60 days of free fixes, then a price per fix or a plan at $150 to $750 a month.
Four projects, line by line
- The build: one fixed price to understand your office and make the thing.
- Platforms: what it rides on, such as a texting number, billed to you.
- Usage: a rule costs nothing, a model call cents at most, a phone minute more.
- Upkeep: who fixes it when a customer does something new.
| Project | The build (one time) | Platforms (monthly, paid by you) | Usage per run | Upkeep |
|---|---|---|---|---|
| Missed-call text-back and phone intake | AI receptionist from $1,500 by text, phone answering priced in the plan | A texting number and your scheduling software, tens of dollars a month. Phone answering adds a voice line. | Text-back is a rule, a fraction of a cent per message. Phone minutes are billed as used and rise when it’s busy. | Monitor, $150 a month, for text only. Care, $350, with a phone line. Or per fix. |
| Quote and invoice follow-up sequence | AI follow-up from $1,500 | Your invoicing software and the same texting number. Often nothing new. | Mostly rules. A model drafts the odd reply for you to approve, pennies a month. | Monitor, $150 a month, or per fix. Most owners pay per fix. |
| Owner dashboard pulling from three tools | Business dashboard from $2,500 for your books plus one system. The third tool is an add-on, priced in the written plan. | The three tools you already pay for, plus hosting at cost, tens of dollars a month. | None worth counting. It reads your data on a schedule. | Per fix. A connection breaks a few times a year when a vendor changes something. |
| Custom portal or job tracker | Client portal from $5,000, or Operations app from $7,500. The written plan fixes the total. | Hosting and a database at cost, tens of dollars a month. | Usually none. A few dollars a month if it drafts text with a model. | Care plus, $750 a month, for software staff use all day. Or per fix. |
Pick a project below. It asks only what moves that price: texts and phone minutes, tools to connect, or the build price.
Try your own numbers
Price a project, all four lines
Pick the project, then say how busy it will be. Upkeep is counted at our Care plan, $350 a month; the written plan may recommend a lighter one.
- Base build, paid once
- $1,500
- Phone answering
- Priced in the plan
- Running cost a month
- $37
- Upkeep a month
- $350
- First year total
- $6,144
- Average a month, year one
- $512
The base build is where the price starts. Add-ons are priced in the written plan, which also states your exact running rates; the running costs here are estimates.
Keeping the monthly lines predictable
Texting from a regular business number needs carrier registration, with a one-time brand fee of $47.50 since August 1, 2025 (Aloware), then a fraction of a cent per message. Zapier lists paid plans from $19.99 a month billed annually (Zapier); for most builds we write the connection directly instead.
Usage is the line that moves. Credit-based pricing and AI steps raise it fast on Make (MEAN CEO), and per-minute receptionists rise in busy months (Vellum). So the plan names the per-minute rate and sets a spending alert before a July heat wave tests it.
Why other quotes range so widely
Vendor pages disagree by a factor of a hundred (Cognival, Automation Force): $50 to $500 a month for a few automations, $1,500 to $5,000 per workflow or $500 to $3,000 to set up, retainers of $500 to $1,500 or $2,000 to $8,000 a month. They’re pricing different things under one name.
Hourly billing
The same text-back can take four hours or forty, and the hourly quote puts that risk on you.
One retainer, three lines
A $2,000-a-month retainer usually bundles resold platforms, with a markup, upkeep and monitoring. Split them out and you can see what you’re paying for.
A rule priced as AI
A missed-call text is a rule, and it needs no monthly AI fee.
The biggest cost is rarely the tools, many under $50 a month, but diagnosing your workflows (Lilach Bullock). That also decides rule or model call, which the November piece prices.
What $100 and $1,000 a month buy
AI is arriving inside tools you already pay for. Microsoft 365 Business Standard with Copilot rose from $33.50 to $35 per user at renewals after July 1, and the $22 promotional bundle ended June 30 (CMIT Solutions).
In our builds, about $100 a month covers one or two automations: a texting number with its carrier fees, maybe a platform tier, and model usage that rarely reaches double digits. A text-only receptionist and a quote follow-up fit inside it.
$1,000 a month buys several systems and a phone line under Care plus at $750, plus minutes and hosting. Or it buys a retainer for two automations worth $100 a month on your own accounts. Over 18 months that’s $18,000, well above where our custom software starts, which is the math behind Replace a subscription: from $5,000 for one tool, with a second tool priced in the written plan. The February piece shows when to keep the subscription.
What upkeep covers
In Bluehost’s May survey of 350 owners, accuracy and the human touch worried owners more than cost (Bluehost). Upkeep is what answers that. Studies of general AI use found nearly 40 percent of time savings lost to checking (The Lonely Entrepreneur, citing Workday) and about 4.3 hours a week reviewing output (Tendem, citing Forrester). Those describe staff using chat tools, not a narrow automation with a person as fallback, but a quote should still carry the line.
Every build comes with 60 days of free fixes. Then a written price per fix, or a support plan at $150, $350 or $750 a month, month to month, because every account is in your name, the standard from June.

Questions owners ask
How much does automation cost for a small business?
A single automation, such as a missed-call text-back, starts at $1,500 once, plus platforms you pay directly and a few dollars a month in usage. Custom software starts at $5,000 to build. Upkeep is extra: a written price per fix or a support plan at $150 to $750 a month.
How much does an AI receptionist cost?
Ours starts at $1,500 by text. Phone answering is an add-on, priced in the written plan, and the plan fixes the total as one price. On top of that you pay the texting number and voice minutes directly, and Care at $350 a month if you want us watching the phone line.
How do I keep the monthly usage cost predictable?
Know what each run costs and set an alert. The written plan states the rate for every per-minute or credit-based line, and we set a cap or an alert where the platform allows one. A text-only or rules-based system has almost nothing that varies.
What does no markup mean on my card statement?
Every service the system runs on, the texting number, the automation platform, the AI provider and the hosting, is an account in your name billed at the vendor's own price. We never resell them, so there's no line of ours hidden inside a platform bill.
Why don't you bill by the hour?
Because then you carry the risk of every surprise, and finding the surprises is our job before we quote. We spend the free visit finding them, then put one number in writing. If it takes longer than we thought, that's our problem.
Is a support plan required?
No. Every build comes with 60 days of free fixes. After that you pay a stated price per fix or take a plan at $150, $350 or $750 a month, month to month, and leave whenever you like.
